Collect Details with User Input Flows

Ask customers a series of questions in chat — name, email, date, choice — validate the answers and save them to custom fields, from Chatbot Manager → Data Collection → User Input Flows.

A User Input Flow asks questions one at a time and saves each answer to a custom field. It feels like a conversation, not a form — great for lead capture, bookings and feedback.

Build one#

  1. Open Chatbot Manager → your number → Data Collection → User Input Flows and click Create.
  2. Add questions in order. For each one choose:
    • Question text — "What's your name?"
    • Reply type — text, email, phone, number, date, or multiple choice (buttons)
    • Save to — the custom field that stores the answer
  3. Add a completion message: "Thanks #first_name#! Our team will call you within 2 hours."
  4. Optionally, on completion: add a label, send the answers to a webhook or Google Sheet.
  5. Start the flow from a chatbot: drag a User Input Flow block into a keyword flow and pick your flow.

Example: a lead form#

  1. "What's your name?" → text → name
  2. "Which service are you interested in?" → [Website] [WhatsApp bot] [Ads] → interest
  3. "Best time to call?" → [Morning] [Afternoon] [Evening] → call_time
  4. → Label New lead, send to Google Sheet.

Tips#

  • Keep it to 3–5 questions. Every extra question loses people.
  • Use buttons where possible — faster to answer and easier to report on.
  • If a customer gets stuck halfway, open their profile in Subscriber Manager and use Reset User Input Flow.

Note

Need a longer form with dropdowns and dates on one screen? Use a WhatsApp Flow. For bookings, also look at Data Collection → Appointment Booking.
