Team Members, Roles & Security
Give each staff member their own login from Control Panel → User Manager, control what they can do with User Permission roles, and keep your account secure.
Never share one login across your team. Give everyone their own account so you know who did what and can remove access when someone leaves.
Create roles first — User Permission#
A role (permission package) decides what a team member can do.
- Open Control Panel → User Permission and create a role.
- Turn features on or off — Shared Inbox, Broadcasting, Chatbot Manager, Subscriber Manager, AI and settings.
- For each feature, choose whether the role can create, update or delete, and set any monthly limits.
Typical roles:
| Role | Access |
|---|---|
| Agent | Shared Inbox only; sees assigned chats |
| Marketing | Broadcasting, templates, labels |
| Manager | Everything except billing and account settings |
Add a team member — User Manager#
- Open Control Panel → User Manager and click Create.
- Enter their name, email and a password.
- Choose their role and which bots / numbers they can access.
- Optionally restrict them to only chats assigned to them.
The User Manager list shows each person's role, status and last login. When someone leaves, deactivate their account immediately.
Security#
Open your profile menu → Security to: - see logged-in devices and recent logins, and sign out sessions you don't recognise; - restrict logins by IP if your team works from fixed locations.
Also keep at least two admins on your Meta Business Portfolio, so you're never locked out of WhatsApp.
